- Board of Trustees (BOT) Membership
- Executive Committee (EXCO) Membership
- Committee Membership
- Membership of other organs of the Queen’s College Old Girls Association (QCOGA) as may be directed by the Executive Committee
I. Review and understand the TOR for the Committee; obtain EXCO approval for any changes to the TOR and composition in line with guidelines set.
II. Develop nomination guidelines and act as clearing house for nominations to Board of Trustees, EXCO and Committee membership in line with approved guidelines.
III. Provide QCOGA a transparent process for ensuring inclusion of members in BOT, EXCO and Committee membership.
IV. Advice EXCO on appropriate persons to be members of BOT; standing and adhoc committees; as vacancies get created.
V. Provide an independent platform for determining continuity of members in committees and for replacement of members as the need may arise.
VI. Develop electoral guidelines for approval by EXCO/General Meeting that support
a. Fairness
b. Merit
c. Diverse and broad-based membership
d. Inclusive teams
VII. Understand and address challenges in previous QCOGA elections such as class set lopsidedness in the voting patterns, block voting etc., and continually improve nomination and electoral processes, while building on the strengths of past processes such as encouraging class sets to participate in the affairs of the QCOGA, and growing the numbers of financial members.
VIII. Recommend changes to the electoral process as may be required.
IX. Be the Independent organizer of all elections and work with EXCO to ensure electoral guidelines are complied with; announce the outcome of elections and set-up appeal processes to adjudicate in disputed elections with the BOT having the final say in the outcome of such disputes; Prepare comprehensive reports on the nominations and electoral processes as executed.
X. Provide written feedback to EXCO monthly and report to the general meeting on activities and work done, in line with the approved annual meeting calendar.
